Start with the event schedule
Note the doors-open time, likely end time and venue entrance. An event can finish later than advertised, so agree on a pickup location and a practical contact method in advance.
Allow for peak demand
Festival dates, weekends and holidays can increase traffic and make curb access more complicated. Give your group extra time to meet, load bags and reach the venue.
Match the vehicle to the group
Count everyone traveling and all luggage or equipment. Larger parties may need a different vehicle or multiple vehicles. Do not assume that a stated seat count also fits full luggage.
Confirm the return
For an evening return to Snowmass or down valley, review road conditions and identify a clear meeting point. Check the venue's current rules for drop-off and pickup.
